See the whole chain, and what each link earns.

Client, end client, prime vendor, you, sub-vendor, consultant: one record with a rate on every link, and margin per link, visible to owners and admins. Timesheets, invoices, vendor bills and compliance dates are views of it.

Vendor chain

Prime vendor and sub-vendor on one record.

Record who bills whom, from the client down to the consultant. Each link carries its own rate, so the chain reads the way your contracts do, and the margin shows where it is earned.

Start a placement

A wizard that asks for what the record needs.

Client and end client, the vendor chain, bill and pay rates, dates and the approver; timesheets follow the company's week start. The pay type (W-2, 1099 or C2C) shapes the questions: overtime status is asked for W-2 consultants only.

Rates and margin

Rate changes keep their reason and their history.

Change a bill or pay rate with an effective date and a reason; margin per link follows from that date. Hours already approved keep the rates that were fixed at approval. Pay rates and margin are shown to owners and admins only.

Rate history Ananya Rao at Northwind Health Owners and admins
EffectiveBillPayMargin
1 Oct 2026 · Annual increase agreed with Crestline$96.00$72.0025%
1 Apr 2026 · Extension signed$92.00$72.0022%
6 Jan 2026 · Placement started$90.00$70.0022%

Approved weeks keep the rates in force when they were approved; a later change starts from its effective date.

Questions

Asked before a walkthrough.

Who can see pay rates and margin?

Owners and admins only. Managers see placements and timesheets without rates or margin; consultants, client approvers and vendors don't see your bill rates, pay rates or margin. The code checks this on every request, not just on the screens.

Can a placement have more than one vendor?

Yes. One or more vendors above you (the prime vendor and any tier above it) and a sub-vendor below, each with its own rate; margin per link.

Do rate changes affect hours already approved?

No. Hours keep the rates that were in force when they were approved, so invoices and vendor bills already built on them don't move. A new rate applies from its effective date, and the change is kept in the rate history with its reason.

Do we have to re-enter data from our ATS?

No. Export people and placements from your ATS or spreadsheet as a CSV or Excel (.xlsx) file, fill EkaSetu's template, and import them. Recruiting stays in your ATS; EkaSetu takes over from the placement onwards.
